This notice explains how Cae Hamdden Arena uses personal information when you browse the website, create an account or make an arena booking.
1. Who we are
Cae Hamdden Arena operates this booking website and is responsible for the personal information used to provide the arena booking service.

2. Information we collect
Depending on how you use the service, we may collect your name, email address, account details, booking history, horse name, booking notes, selected extras, instructor choices and payment references.
Payments are processed by Stripe. We do not store your full card number or card security code.
We may also process limited technical information needed to operate and secure the website, such as essential authentication and security cookies and basic server logs.
3. Why we use your information
We use personal information to create and manage your account, take and administer bookings, process and reconcile payments and refunds, send booking confirmations, provide customer support, prevent misuse and keep appropriate financial and business records.
Our main lawful basis for account and booking information is that it is necessary to perform our contract with you. We may also process information to comply with legal obligations and for legitimate interests such as securing the service, resolving disputes and operating the arena efficiently.
We do not currently use your booking information for automated marketing emails. If marketing is introduced later, we will provide the appropriate choice and information before using your details for that purpose.
4. Who we share information with
We only share information where needed to operate the service. This may include Stripe for payments and refunds, IONOS for website, database and email hosting, and professional advisers or public authorities where disclosure is reasonably necessary or legally required.
Our service providers may process information in locations outside the UK. Where this happens, we rely on the safeguards required by applicable data protection law and the arrangements put in place by those providers.
5. How long we keep information
We keep account information while your account remains in use and for a reasonable period afterwards where necessary. Booking and payment records may be retained for up to six years where needed for accounting, tax, legal claims or dispute handling.
Information that is no longer reasonably required will be deleted or anonymised where appropriate.
6. Cookies
The booking website uses cookies that are necessary for functions such as signing in, maintaining account security and protecting forms against misuse. These are essential to provide the service.
We do not currently use optional advertising or behavioural tracking cookies. If that changes, we will update this notice and obtain consent where required.
7. Your rights
Depending on the circumstances, you may have rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing and transfer of information in a portable format.
Some rights are subject to legal exceptions, for example where we must retain transaction records for tax or legal purposes.

Please contact us first if you have a concern about how we use your information so we can try to resolve it. You also have the right to complain to the UK Information Commissioner's Office (ICO).
9. Changes to this notice
